What happens when you move or copy assets with labels?
Watch the video below to see how it works or keep on reading:
When you choose to copy labels while moving / copying the assets, the process involves copy the labels associated with an asset from the departure library (the library where the asset is being moved from) to the targeted library (the library where the asset is being moved to).
No changes will be made to the departure library, except for updating the number of linked slides associated with each label.
In the target library, a few adjustments may be applied to the labels based on specific scenarios, as outlined below:
When are labels reused and created in the target library? If a label in the departure library already exists in the target library with the same type (e.g., "Marketing" as a Category in both libraries), the system will reuse the existing label in the target library. This ensures consistency and avoids duplication. If a labels in departure library does not exist in the target library, then the system will simply create it as a new label.
What if labels exist in both libraries but are of different types? When a label exists in the target library but under a different type—for example, "Finance" is a Category in the departure library but exists as a Subcategory in the target library—the system will preserve the original type from the departure library. In this case, "Finance" will be created as a new Category in the target library to maintain consistency.
How are tags and subcategories handled? Tags and Subcategories have a unique relationship as an exception: the same content cannot exist as both a Tag and a Subcategory in the target library.
For instance: If the tag "Strategy" is linked to the asset in the departure library, but the Subcategory "Strategy" already exists in the target library, the system will automatically map the tag "Strategy" to the existing Subcategory "Strategy" in the target library. This ensures consistency, and no new Tag will be created during this process.
How are category and subcategory links handled? Category and subcategory linking will always follow the structure of the target library, regardless of their relationship with the departure library.
For instance: If a category and subcategory are linked in the departure library and both are selected for the asset, but they exist as unlinked labels in the target library, the system will apply them as unlinked labels in the target library.
Exception of moving: If only some of the labels exist in the target library, the system will follow the structure from the departure library. For instance, if a Category exists in the target library but its Subcategory does not, the system will create the missing Subcategory and link it to the Category, replicating the structure from the departure library.
Exception of copying: If only some of the labels exist in the target library, the system will follow the structure from the Target library. For instance, if a Category exists in the target library but its Subcategory does not, the system will create the missing Subcategory and keep it unlink to the Category.
