Automatic Template file Validation in SlideHub Platform

When you upload a template to SlideHub, the system automatically verifies that the template has the correct settings before including it in your company library. If any issues are detected, a warning will prompt you to fix them. We strongly advise resolving these issues to ensure your template is well-defined, which will contribute to a more effective used library.

Read the following points to learn how to resolve each type of issue, should it occur

1. Too large template file size
2. Non-standard Template Format Detected
3. Template contains custom font
4. Template contains internal links
5. Template contains multiple language settings
6. Template contains too many master templates

1. Too large template file size

This issue occurs only if the template file size is over 10 MB. If the file size exceeds 20mb, it will be mandatory to reduce the size below 20mb in order to be able to upload the template.

Why should you avoid large template files in general?

• They slow down the performance of your computer as it uses a lot of storage, regardless of number of slides in the file.
• The file should be sharable internally/externally eventually, hence if you have a large template, you might not be able to send the files using the template via email.
• The large file size might experience delayed updating and syncing in the company library, which can cause confusion.

How to reduce the file size?

• Check your image save settings. If “Do not compress images in file”, is selected, your file size will increase significantly.
• Check if the file has too many customized font types embedded.
• If the file contains graphs linked to excel sheets with lots of data, we recommend disconnecting the links or inserting the graphs as images instead.
• If the file contains any videos, we recommend replacing the embedded video with “Link to a video file”.

How to link videos?

1. Click the slide you need to link the video
2. Click the Video dropdown, and click “Video on my PC”
3. Once you select the video file, select “Link to file” instead of “Insert”

2. Non-standard Template Format Detected

What does the warning mean?

Brand guidelines vary by company, so receiving this message doesn't necessarily mean your file needs adjustment. However, because the standard template sizes are 4:3 or 16:9, we're alerting you to verify your company's brand guidelines for template sizes. If your file aligns with these dimensions, it's considered standard, and you won't see this warning.

3. Template contains custom font

Difference between validating font in uploading file to Template file:

Unlike the validating uploading file, when the system validate the template file, it will cover the fonts from master template and layout template down to individual slides.

Background:

In the library, we generate the image to show the preview of the file and the PDF version of the file. In most cases, a preview & PDF appears without issue. However, when the file includes custom fonts and SlideHub does not have access to the font, the preview might look different from the actual file.

There are two ways to avoid this issue.

Solution 1 : Embed the font directly in the file.

Solution 2 : Share the font file to SlideHub, so we can add the font to the system (not embedded in the file). Since this requires our tech team to implement it in your library, we kindly ask you send a ZIP folder with the font to success@slidehub.com. The suggested format for digital display and PowerPoint presentations is .TTF (TrueTypeFont) format.

4. Template contains internal links

What will we do if you select “Remove links”

If you pick this option, the system will automatically remove all internal links from master template, layout, individual slides in order to use the individual layout freely. If the internal link was created in the the files master template placeholder, and you select “Remove links” from validation, the style will revert to the master template placeholder´s default style.

5. Template contains multiple language settings

What will happen if the template has multiple language settings?

SlideHub Platform provides a warning mentioning that the file has multiple language settings and also shows exactly which language settings these are.

What options do you have?

You can decide to ignore and leave the file as is. Or you can select one language setting to replace all of the others in the template. Doing so does not change the template's visual appearance in any way. Please note that the language replacement only applies to text elements, other element like images, icons, videos etc. will retain their original language setting.

Are there any technical limitations?

Due to constraints within Microsoft PowerPoint, some placeholders in master/layout templates may not change proof language even after selecting "Replace language."

1. The "Replace language" feature won't work on a layout's Title placeholder if its proof language hasn't been manually changed.
2. For a layout's Content placeholder, the "Replace language" function will work correctly, whether or not there has been manual modification.

6. Template contains too many master templates

What is the downside of having multiple master templates in one template?

1. Complexity : It becomes more complex for selecting the appropriate master template for each slide or presentation, which can hinder productivity.
2. Potential to increase the file size : More master templates can increase the file size of presentations, which may cause issues with email attachments, loading times, and storage.
3. Increase confusion : Adding the variety of options, leading to incorrect or inconsistent use of templates, which can compromise the professional appearance of presentations.
