How to delete company assets from the library?
As a library admin, you can delete any company asset (slides, documents, sheets, icons, images) simply by going to ‘Manage Assets’ view and click on all the assets that you would like to delete from the library. For PowerPoint slides, stand-alone slides and presentations have to be deleted separately.
For slides, documents and sheets, once you have selected the ones to be deleted in mange assets overview, you will be given a prompt to confirm that you would like to delete the assets (soft delete) and they will be deleted from the system permanently after 90 days (hard delete).
Alternatively, you can also choose to delete individual assets by clicking on the cog wheel button and select ‘Delete’ in the next step.
If you would like to hard delete the assets immediately without waiting for 90 days, you can follow the below steps:
Go to manage view, select the asset type (slides, icons, images, documents or sheets), click on the ‘Overview’ tab and click on ‘Show More Filters’.
Use the ‘Deleted’ filter and filter out slides that are soft deleted (90 Days).
In this view, you can select the slides that you would like to delete permanently right away.
The above steps also apply to documents, sheets and images.
Deleting a slide that is a purely stand-alone slide or is only in presentation view is straightforward, you just click on the delete button. But since you can decide how slides are being shown in the library (stand-alone slides only, presentation only or slides in a presentation are also showing up as stand-alone slides), you would have a few more decisions to make before you can delete the slides when they are also part of other presentations. Below are 2 scenarios:
Deleting stand-alone slides that are part of a presentation
In the below example, since the slide that is selected to be deleted is also part of 2 presentations, you will be given 3 options: Delete slides as stand-alone slides, Remove slide(s) from selected presentations or Delete slides both as stand-alone slides and from selected presentation(s)
1.1 Delete slides as stand-alone slides
The chosen slide will no longer be found in the stand-alone search view but it will be retained in the presentation.
1.2 Remove slide(s) from selected presentations
The chosen slide will be removed from the presentation(s) it is a part of but the stand-alone slide will remain.
In this case, since the chosen slide is part of 2 presentations. In the next step, you can also choose which presentation you want to delete the slide from and click on ‘Delete selected’.
1.3 Delete slides both as stand-alone slides and from selected presentation(s)
The chosen slide will be deleted from the library for both the stand-alone slide view and in the presentation. Similar to 1.2, you can select which presentation you want to delete the slide from in the next step. If you have chosen to delete the slide from both of the presentations, the only way to find the slide back is to filter out the soft delete slides in manage view as mentioned in the Soft delete vs. Hard delete section.
Deleting a presentation when some of the slides have been made stand-alone slides
If you would like to delete a presentation and some or all of the slides are also showing up as stand-alone slides, you will be given 2 options: Delete all associated slides or Don’t delete stand-alone slides.
2.1 Delete all associated slides
All of the slides in the presentation will be fully removed from the library. Individual slides will not be searchable.
2.2 Don't delete stand-alone slides
If there is any slide in the presentation that has chosen to be shown as stand-alone slides, the stand-alone slides will remain but would lose reference to the presentation as the presentation itself will be deleted.
In the event where you have undergone a rebrand or a restructuring, it would make sense to delete a specific asset type (i.e. all the company slides, images, icons, icons, documents, sheets, text snippets) from the library and start over with uploading.
Below are the next steps:
Go to manage view and navigate to 'Asset Settings'. In Asset Settings, select the ‘Other’ tab.
In the next step, you can select which asset type you want to delete all the content and decide whether the labels should also be deleted (Note that you cannot select to only delete a specific category of slides, images or icons but it will be everything from the asset type). If you are also a library manager of team libraries, you can also choose to delete the assets from the corresponding libraries.
