How to set up icon and image placeholder?

By setting up image and placeholders in Word documents and PowerPoint slides, end-users can easily insert and replace images and icons in the appropriate places in the documents and slides they work on, making it faster to create customized materials. It is also possible to set up logic so that the relevant images and icons can be used in automation accordingly.


How to create and manage image placeholder


  1. Find a slide or document where you already have an image in place and you would like to set up image placeholder.


  1. Click on the image that you want to set up a placeholder. Click on the dropdown menu on the ‘Manage’ button in the add-in and select ‘Placeholder identifiers’. Here it will show all the existing placeholders in the library and you can filter the ‘Placeholder type’ as well. Select ‘image’ to be the placeholder type.


For image placeholders in Word, the image file type for setting up image placeholder has to be in .png or .jpeg format. For PowerPoint slides, .svg, .png and .jpeg file types will work.
  1. Click on ‘Create new identifier’ if you want to set up a new placeholder.

  1. Name your identifier and configure additional settings like marking the input optional and filtering options for end-users (i.e. end-users cannot choose from all company images but only those that are in a specific category, sub-category or with a specific tag).

  1. Click on ‘Click to link’ to link the new identifier created with the image in the slide.

  1. Click on Back to go back to the main pane view and click the ‘Update’ button in the add-in so that the update will take effect for the existing slide in the library or ‘Add’ button if the slide doesn’t exist in the library yet.

Once the image placeholder has been created, go to Manage Assets and select the Automation tab for further settings. You can filter out image placeholder for the placeholder type filter.

You can control what images end-users can select to insert in the image placeholder. Instead of selecting images from the whole library, end-users will only be able to select images in the chosen category. In this example, we want users to only choose from the 'employee' category'.

How to create and manage icon placeholder


  1. Click on the icon/object area  in a slide/document that you want to set up an icon placeholder. Click on the dropdown menu on the ‘Manage’ button in the add-in and select ‘Placeholder identifiers’. Select ‘icon’ to be the placeholder type.

  1. Name your identifier and choose between company icons and logos (off-the-shelf) for end-users. Company icon means that end-users will get to choose from the custom company icons that you have uploaded to the library, and logos (off-the self) means that end-users will pick from the logo tool that SlideHub provided. You can also configure additional settings like marking the input optional and filtering options (i.e. end-users cannot choose from all company icons but only those that are in a specific category, sub-category or with a specific tag.

  1. Click on ‘Click to link’ to link the new identifier created with the icon in the slide.
