How to use Send and Track
How does Send & Track work?
Send & Track lets you share files from SlideHub with people outside your organization and see exactly how they engage with what you sent. You pick the files, generate a link, and send it to your recipient over email or message. SlideHub then records when they open the link, which files they look at, and how long they spend on each slide — giving you visibility into what's actually landing with people outside SlideHub.
Example: you are preparing for a follow-up call with a new client and want to know if they read the proposal you sent. You create a link, paste it into your email, and check the activity view the next morning — SlideHub shows that someone opened it, spent four minutes on the pricing slide, and downloaded the PDF. You go into the call knowing exactly which content resonated.
How to use Send & Track
- In the left sidebar, click Shared Links. The Shared Links page opens with a list of all the links you have created.
- Click Create link in the top right corner. The Create Shared Link page opens.
- In the Link name field, enter a name for this link — for example, Q4 Financial Report. This is an internal label only; your recipient will never see it.
- Click Add more to add files to the link. You can Upload from computer to upload directly from your device, or choose one of the Add ... from platform options to use files already stored in SlideHub. You can add multiple files and they all appear in the same link viewer.
- Under File download access level, choose what recipients are allowed to do with the files: No download / View only, Download As PDF Only, or Download original file format.
- In the Receiver(s) field, enter the name or company of the person you are sending to — for example, Jane Smith, Acme Corp. This is for your own reference and appears in notification emails so you can identify who the link was sent to.
- Set any additional options you need — a password, an expiration date, or colleagues to share access with (see the next section for details) — then click Generate link. The Your link is ready! page appears, showing the shareable URL.
- Click Copy to copy the link, then paste it into your email or message and send it to your recipient. You can also click Preview link to open it as your recipient will see it.
Tip: if you set a password on the link, you need to send that password to your recipient separately — they will need to enter it before they can view any files.
What files can I add?
Send & Track supports PowerPoint (.pptx), Word (.docx), PDF, Excel (.xls, .xlsx), images (.png, .jpg, .jpeg), and video (.mp4) files. The maximum size per file is 200 MB. PowerPoint and Word files are converted to an interactive viewer so your recipient can read them in the browser without needing Microsoft Office.
What options can I configure on a link?
- Track — toggle tracking on or off for this link. When on, SlideHub records each visit and how your recipient engages with each slide. When off, no activity is recorded at all. (Please note that your company may enforce tracking to always be on or always be off — if the toggle is greyed out, your company's policy applies and the setting cannot be changed for individual links.)
- Password — add an optional password. Recipients must enter it before they can view any files. Leave the field empty for no password.
- Expiration date — set when the link stops working automatically. Options are 7 days, 30 days (the default), 60 days, 90 days, a custom date, or no expiration. Once a link expires it is automatically deactivated.
- File download access level — control whether recipients can download the shared files and in what format.
- Internal note — add a private note for your own reference, such as Sent after demo call on Monday. Your recipient never sees this.
- Available for colleague(s) — add colleagues from your account so they can view and manage this link alongside you.
How do I add a password to a link?
You can add a password when you create a new link or add one to an existing link at any time.
When creating a new link, enter your chosen password in the Password field on the Create Shared Link page before clicking Generate link. Leave the field empty if you do not want a password.
To add or change the password on an existing link:
- Open Shared Links and find the link you want to protect.
- Click the action menu on that link and select Edit. The edit page opens.
- Enter your password in the Password field, then click Update link. The change takes effect immediately — anyone who opens the link from that point on will be prompted to enter the password.
To remove a password from a link, go back to Edit, clear the Password field, and click Update link. The link will become accessible without a password again.
A few things to keep in mind when using a password:
- SlideHub does not send the password to your recipient — you need to share it with them separately, by email or message.
- The password is not shown in plain text once it is set. If you forget it, clear the field and set a new one.
- Incorrect password attempts are not logged, so you will not see failed access attempts in your activity view.
What does the activity view show?
Open any link on the Shared Links page and click into it to see its full activity. For each visit, SlideHub shows when the link was opened, how long the session lasted, the general type of device used (desktop, mobile, or tablet), which files and slides were viewed, how long your recipient spent on each slide, and whether any files were downloaded.
SlideHub does not collect your recipient's name, email address, IP address, or precise location — only engagement with the content is recorded. For the full picture of what is and is not tracked from your recipient's side, see What is tracked when I open a shared SlideHub link?
Who can see my links' activity?
By default, only you and any colleagues you added to the link can see its activity. If your company has set link statistics to Public, account Owners, Admins, and Editors at your company can also see activity across all links. If the setting is Private, only you and the colleagues named on the link have access. If you are not sure which setting applies at your company, ask an account Owner.
Will I be notified when someone views or downloads my link?
Yes. By default, SlideHub sends you an email the moment a recipient opens or downloads your link, and a reminder when a link is approaching its expiration date. To change the notification frequency or turn individual notifications off, click Notification setting on the Shared Links page. You can set notifications to arrive Instant, as a Daily digest, as a Weekly digest, or None.
Can I edit or deactivate a link after sending it?
Yes. From the Shared Links page you can make the following changes at any time:
- Edit — click the action menu on any link and select Edit to update its name, password, expiration date, files, or any other setting. Changes take effect immediately and the same URL continues to work — you do not need to resend the link to your recipient.
- Deactivate — use the Active toggle in the link list to deactivate a link. Deactivating it prevents anyone from opening the link, but keeps all activity history intact. You can reactivate it at any time by toggling it back on.
- Delete — permanently removes the link and all its activity history. This cannot be undone, and only the person who originally created the link can delete it.
Does Send & Track cost any credits?
No. Creating links, sharing them, and viewing activity does not consume any Pre-Paid Credits. Send & Track is included in every SlideHub subscription at no additional cost.
