SlideHub Deployment Guide: Steps & Considerations
Successful deployment of SlideHub requires collaboration between IT and Business stakeholders to ensure a smooth rollout. While IT handles the technical setup, business teams define how the tool fits into workflows and drive user adoption.
Business - the primary point(s) of contact within an organization responsible for adopting (and managing) SlideHub
IT - the main IT lead(s) with admin access to the Microsoft Admin Center and SharePoint, responsible for deploying and managing SlideHub within the organization from an IT perspective
This guide highlights the steps, key considerations , responsibilities, and best practices to ensure a successful deployment of SlideHub. While this serves as a standard framework, your specific needs may vary and require adjustments to the steps and considerations outlined here. Use the checklist below as a guide to ensure that you’ve covered all necessary steps for a successful rollout.

Before rolling out SlideHub, determine who in your organization will use it. While some companies decide to deploy it for the whole organization others only want to give access to specific users/groups. This is a joint effort between IT and business teams.
Business - should identify key users who need access
IT - should try to map the existing users defined by the Business to existing security groups, ensuring that access is granted to the appropriate individuals through the Microsoft Admin Center
Considerations:
Will SlideHub be available to all employees or only specific groups/teams?
SlideHub seamlessly integrates with PowerPoint, Word, Excel, and Outlook. IT teams should ensure the add-ins are deployed according to business requirements and grant access to the appropriate users who should get access to SlideHub.
There are two apps the IT team should deploy:

Considerations:
Do you need to deploy the add-in for all Microsoft 365 tools or only a selected few?
Would you prefer to deploy it to a select group of users with manager rights to customize and populate the library before the full rollout to all users?
Determine how users will log into SlideHub. The best option depends on your organization's security policies and existing authentication systems. Users with admin rights can change the login method under the Security tab in Account Settings within the Manage view.
Allow all login types: Members of the organization can login with all available login methods as long as they can verify the relevant accounts
Email/Password only: Members can only login using their personal login credentials
Gsuite only: Members can only login using their Google login credentials
Office365 only: Members can only login using their Office login credentials
Only accept Single Sign On (SAML): Please contact customer success to get SSO enabled on your account (extra costs apply)

Considerations:
What is your organization's security policy for user access?
Single Sign-On (SSO) enables more centralized control over who can access SlideHub and allows users to log in using their existing credentials, streamlining the login process and enhancing security. Integrating SSO with SlideHub can simplify user authentication and improve security by reducing the need for multiple passwords.
Directory Sync helps automate user access and group management by syncing SlideHub with your Microsoft 365 directory.
IT handles the technical setup
Business teams define user groups to ensure the right people have access
Please note that the SSO and Active Directory Sync come with additional monthly cost of 75 USD /month for the Directory Sync and/or 75 USD /month for the SSO.

By enabling a SharePoint backup, managers can sync their SlideHub libraries with their SharePoint accounts, this is a simple way to add an extra layer of protection to your assets saved in SlideHub. While it’s not required, this option allows you to easily restore your data if needed, helping to keep everything secure.
To configure the SharePoint backup, admin access to your company’s OneDrive account is required.
If you would like to set it up, please contact our Customer Success team to have it enabled for your organization, as it is not enabled by default.

At SlideHub, we categorize implementation into four levels, allowing you to scale at your own pace. The higher the level you implement, the more value and efficiency you gain from SlideHub:
Level 1 - Off-the-Shelf Assets - Access a ready-to-use library of pre-designed assets to enhance efficiency
Level 2 - Basic templates - Utilize branded templates to maintain design consistency across presentations while streamlining content creation
Level 3 - Brand and productivity hub - Centralize all branded assets and templates in one place to reinforce brand compliance, improve workflow, and boost productivity
Level 4 - Automated Customization - Maximize efficiency with controlled automation, allowing teams to personalize presentations quickly and easily while maintaining brand consistency

What is your primary purpose for using SlideHub?

How much time are you and other admins willing to invest in managing and optimizing the platform?
Should we start with Level 1 or 2 for a quick launch to begin seeing value, and then progressively move towards Level 3 and 4 over the next few months?

Decide what type of assets you would like to upload into the library. For example, are you interested in uploading only slides, or would you like to include documents, images, icons, etc.?
Determine the library architecture with categories and tags
Would you like all users to have access to all materials, or would you prefer to create restrictions ("Chinese wall") and have specific teams with access to certain materials?
Are there any slides or materials you would like to lock, preventing end-users from editing them?
Would you like to apply placeholders to any of your slides or presentations, allowing end-users to customize them easily?
This customization ensures SlideHub supports existing workflows and maximizes adoption.
Users can be enabled or disabled from suggesting slides (and updates) through the platform, with admins and gatekeepers reviewing submissions. This allows the library to grow with user contributions while maintaining quality. It’s essential to define who can suggest slides and who is responsible for reviewing them, ensuring an efficient and structured process.

They ensure the right users attend the appropriate sessions and communicate any unique needs or specific requirements to the CS team for a more tailored onboarding experience.
Admin onboarding is more in-depth and focuses on the backend management of SlideHub. Account managers are responsible for overseeing user access, organizing assets, and maintaining an up-to-date, on-brand, and compliant asset library.
Admin onboarding typically lasts 1 hour or longer, depending on the company’s needs. Multiple sessions can be scheduled based on the number of admins and specific requirements.
Considerations:
Would you like to assign specific tasks to admins, such as having some manage and update assets while others focus on slide suggestions?
Would you like to train admins on how to onboard end-users themselves?
Would you prefer the onboarding session to be 1 hour, or would you like a more in-depth, extended session?
Is there anything specific you'd like to highlight during the session, such as a particular slide or presentation everyone should be aware of, and how to locate it?
Would you like your team to receive automated onboarding emails, or would you prefer to handle the communication differently?
Should we conduct dedicated onboarding sessions for certain teams and/or their managers?
The goal of end-user onboarding is to ensure your team knows how to access and make the most of SlideHub’s features, streamlining their document creation process. The aim is to empower them to use the platform efficiently, boosting their productivity and workflow.
The end-user onboarding typically consists of one 30-minute session, but additional sessions can be arranged based on the number of users and the company's specific needs.

Are there specific features you’d like the onboarding session to focus on more heavily?
Do you have a particular way you’d like users to interact with the platform that may differ from standard usage?
Is there a specific use case or workflow you’d like us to demonstrate during the session?
Would you prefer the onboarding session to be 30 minutes, or would you like a more in-depth, extended session?
Is there anything specific you'd like to highlight during the session, such as a particular slide or presentation everyone should be aware of, and how to locate it?
Would you like your team to receive automated onboarding emails, or would you prefer to handle the communication differently?
Should we conduct dedicated onboarding sessions for certain teams and/or their managers?
Once everything is set and your needs have been communicated to your SlideHub Customer Success representative, the next step is to send separate invitations: one for the account managers to attend the Manager Onboarding session, and another for the end users to join the End User Onboarding session.
A structured offboarding process ensures that departing users no longer have access to SlideHub, while protecting the integrity of stored assets.
Considerations and recommendations:
Define a process for revoking access when an account manager or end user leaves the organization
Determine whether their permissions need to be transferred to another user - This is especially crucial when an account owner leaves the organization (Business effort)
Ensure compliance with security policies by promptly removing access and deleting users from the SlideHub platform. To delete a user, go to the Manage View, select User Settings, choose the user you want to remove, scroll down to the Delete Account section, and click Delete User
If using Directory Sync, verify that deactivated users are automatically removed from SlideHub
Hosting regular refresher sessions can enhance engagement, keep users updated, and ensure they fully benefit from SlideHub.
Best practices:
Host quarterly refresher sessions to share new features and best practices
Gather user feedback to improve their experience
